While we generally work with clients who can afford our monthly minimum billing fees, we understand the unique needs of small private practices when it comes to medical billing. That’s why we’re excited to introduce our starter package—specifically designed to establish a robust billing foundation for small private practices looking to enhance their financial health.
Client must sign up for an account with CollaborateMD, a practice management software system (CMD). Client must designate a Larsen employee as an “Authorized Representative” in their CMD account so that Larsen can set up the database correctly.
Client must identify at least one front office employee (or multiple staff) who will work with Larsen throughout the contract period, and who will be trained by Larsen to take over all billing and other responsibilities to ensure effective revenue cycle management processes.
Client must provide a HIPAA-compliant platform for meetings with Larsen throughout the contract period. Client will record training sessions to be reviewed as needed by staff to fulfill their responsibilities as taught by Larsen. (Microsoft O365 is highly recommended as a HIPAA-compliant productivity platform. Microsoft Teams, included in O365, is recommended as a secure platform for video meetings. Larsen needs to use Client’s CMD database to train staff to properly work the account; protected health information viewed during training sessions will not be at risk.)
Larsen will review/advise Client on proper set up of EIN(s), NPI number(s) and taxonomy codes.
Larsen will set up Client’s CMD database; Larsen will complete paperwork required for electronic claims and electronic remittance advice (ERAs). Larsen will load codes and fee schedules.
Larsen will set clients up with payers. If in-network status is requested, Larsen will complete credentialing with specified payers for Client’s professional group and will apply for professional and/or facility contracts (there is no guarantee of contracts being offered or of rates being acceptable). If out-of-network status is requested, Larsen will perform out-of-network loads with all specified payers.
Larsen will work with Client to establish a clear process for eligibility and benefits verification, including obtaining authorizations and applying for in-network exceptions if applicable. Larsen will assist in establishing a clear patient collections process.
Larsen will perform the billing function for the first several weeks to ensure that all claims are billed appropriately and there are no issues with electronic claims. Larsen will post all payments to ensure that ERAs are functioning appropriately. Larsen will follow-up on denied claims during this timeframe.
Once the account has been properly onboarded, Larsen will conduct training sessions with Client’s staff to teach them how to take over all the revenue cycle management functions from Larsen. Client will record these sessions so that staff may review them at any time.
Training will include how to properly utilize CMD for all processes utilized by the account and how best to get CMD assistance when needed.
Training will cover how to bill for Client’s services appropriately, including the use of proper CPT codes, ICD-10 codes, HCPCS codes and modifiers, and any applicable payer nuances. Training will provide protocols for proper billing.
When Client’s staff begins charge entry in CMD, Larsen will check all work for accuracy before claims are released and will provide feedback.
Training will also include: proper ERA posting, manually posting EOBs when needed, claims follow-up, denials management, appeals, dealing with underpayments, write-offs, handling negotiation offers, responding to refund requests, etc.
Larsen and Client will communicate through scheduled training sessions; Client may reach out via email and phone calls with questions and to request assistance with claims or payer issues. Larsen will provide ongoing support throughout the process.
