  • To ensure a smooth setup, the following steps are necessary:
    • Sign up for CollaborateMD (CMD): A practice management software system that we’ll use to handle your billing.
    • Designate an Authorized Representative: This allows us to properly configure your CMD account.
    • Identify Front Office Staff: Select one or more team members to work with us, who will be trained to take over billing and revenue cycle responsibilities.
    • Provide a HIPAA-compliant platform for meetings: We recommend Microsoft O365 and Teams for secure, compliant communication. We will work with your CMD database, ensuring PHI remains protected.

     

  • Here’s what you can expect from us as part of the Starter Package:
    • Account Setup Assistance: We’ll review and advise on EIN(s), NPI numbers, taxonomy codes, and ensure your CMD database is configured correctly.
    • Payer Setup: We’ll connect you with payers, complete the necessary credentialing, and apply for contracts (both in-network and out-of-network, as requested).
    • Claims Processing & Payment Monitoring: We’ll handle billing for the first few weeks to ensure claims are correctly submitted, payments posted, and issues with ERAs are resolved.
    • Eligibility & Benefits Verification: We’ll work with you to establish a process for verifying patient eligibility, obtaining authorizations, and ensuring proper patient collections.

     

  • Once your account is set up, we’ll train your staff to take over the billing functions. Training includes:
    • CMD Utilization: How to use the practice management software effectively.
    • Proper Coding: How to use CPT, ICD-10, HCPCS codes, and modifiers.
    • Billing Protocols: The best practices for billing services correctly.
